BOOKING TERMS & CONDITIONS

 

These Terms & Conditions govern all bookings and travel services provided by Impress Travel (“we”, “us”). Please read them carefully before confirming a reservation. By submitting a booking request or making payment, you acknowledge you have understood and agree to be bound by these Terms & Conditions, with any itinerary, invoice, or confirmation we issue. They explain how prices, deposits and payments work; what is included and excluded; how cancellations, amendments and refunds are handled; and the responsibilities of travelers and suppliers. If anything is unclear, please contact us before booking. We may update these Terms & Conditions without notice.

 

1. Reservations

• All reservations must be made in writing via our official website or company email.
• A booking confirmation and invoice shall be issued upon receipt of reservation.

2. Prices

• All tour prices are quoted in United States Dollars (USD), unless otherwise stated.
• Prices are subject to adjustment due to currency fluctuations, government taxes, or fuel surcharges.
• Tour prices are only guaranteed once full payment has been received.
• No refunds shall be made for any unused portion of the tour.

3. Deposit & Payment

• A deposit of 30%–50% of the total tour cost is required to confirm a booking.
• The remaining balance must be paid no later than 30 days prior to departure.
• Payments may be made via bank transfer or credit card through One Pay (processing fees: 3.85% Visa/Mastercard/JCB; 4.5% American Express

4. Cancellation & Refunds

• All cancellations must be submitted in writing.
• The following cancellation charges shall apply:
• • More than 45 days before arrival: deposit refundable.
  • 30–45 days before arrival: deposit non-refundable.
  • 30–44 days: 30% of total tour cost.
  • 15–29 days: 50% of total tour cost.
  • 7–14 days: 70% of total tour cost.
  • Less than 7 days or no-show: 100% of total tour cost.
• Additional charges by third-party suppliers (airlines, hotels, cruises) may apply.
• Cancellation of services once the tour has commenced shall be non-refundable.

5. Amendments

• Any amendments after booking confirmation may incur additional costs.
• Name changes and alterations to issued air tickets may result in up to 100% cancellation fees and full re-booking costs.

6. Air Transportation

• Where flight tickets are arranged by Impress Travel, the applicable airline’s terms and conditions relating to deposits, cancellations, and child fares shall apply.

7. Services Excluded

Unless expressly stated otherwise, the following are excluded from the tour price:

• International airfares and departure taxes.
• Airport transfers not specified in the itinerary.
• Early check-in or late check-out.
• Meals not specified, gratuities, personal expenses.

8. Travel Insurance

• Comprehensive travel insurance is strongly recommended for all travelers.
• Such insurance should provide cover for medical expenses, repatriation, personal injury, loss of baggage, and trip cancellation.

9. Passports & Visas

• Travelers are responsible for ensuring their passports are valid for at least six (6) months beyond the date of entry.
• Travelers are solely responsible for obtaining all necessary visas.

10. Children’s Policy

• Infants under 2 years: free of charge, sharing bed with parents.
• Children 2–5 years: 50% of adult rate, sharing bed with parents.
• Children 6–11 years: 75% of adult rate, sharing bed with parents (extra bed upon request).
• Children 12 years and above: charged at full adult rate.
• Airline child fares apply in accordance with carrier regulations.

11. Special Requests

• Any special requirements (e.g. dietary, medical, mobility) must be notified at the time of booking.
• Impress Travel shall use reasonable efforts to accommodate but cannot guarantee compliance.

12. Conduct & Responsibilities

• Travelers are required to comply with all local laws, tour regulations, and guide instructions.
• Impress Travel reserves the right to refuse service to any traveler whose behavior is deemed disruptive, unsafe, or unlawful.

13. Liability

• Impress Travel acts solely as an agent for hotels, airlines, transport companies, and other service providers.
• We shall not be held liable for loss, injury, accident, delay, or damage caused by third parties or circumstances beyond our control, including but not limited to force majeure events (natural disasters, political unrest, epidemics, flight cancellations).
• Additional expenses arising from such events shall be borne by the traveler.

14. Data Protection

• Personal information collected will be handled in accordance with our Privacy Policy.
• Travelers may opt out of marketing communications at any time.

15. Governing Law

• These Terms & Conditions shall be governed by and construed in accordance with the laws of Vietnam.
• Any disputes arising hereunder shall be subject to the exclusive jurisdiction of the competent courts of Vietnam.

By making a booking with Impress Travel, you confirm that you have read, understood, and agreed to these Terms & Conditions. Together with any booking confirmation, invoice, and itinerary, these Terms & Conditions constitute a binding agreement between you and Impress Travel. In the event of any dispute arising out of or in connection with your booking or the provision of services, these Terms & Conditions shall serve as the primary basis for interpretation and resolution, to be applied in accordance with the Governing Law and Jurisdiction stated above. In case of any inconsistency with other communications, these Terms & Conditions shall prevail unless otherwise agreed in writing.
