Terms & Conditions – Dhaulagiri Circuit Trek 18 Days
By booking the Dhaulagiri Circuit Trek – 18 Days with GuruTreks, travelers acknowledge and agree to the following terms and conditions. This trek involves remote wilderness, high-altitude camping, glacier and moraine terrain, and passes above 5,000 meters. Travelers should carefully read these conditions before confirming their booking.
1. Booking Confirmation
A booking is confirmed after GuruTreks receives the required advance payment and provides booking confirmation.
The person making the booking is responsible for ensuring that all members of the group understand and accept these terms and conditions.
2. Payment
The required advance payment must be made to secure the trekking dates and allow GuruTreks to arrange necessary permits, accommodation, transportation, staff and other logistical services.
The remaining balance must be paid according to the payment schedule provided by GuruTreks before the trek begins.
Any bank transfer, payment gateway or transaction charges applicable to the booking may be payable by the client.
3. Cancellation and Refund
All cancellations should be submitted to GuruTreks in writing.
Cancellation charges may apply depending on the date of cancellation and costs already committed for permits, transportation, accommodation, staff, camping logistics and other services.
Non-refundable government fees, permits, advance payments and third-party charges may be deducted from any eligible refund.
No refund will normally be provided for unused services resulting from voluntary withdrawal, early departure, no-show or failure to complete the trek.
4. Trekking Permits and Documentation
Travelers must provide accurate passport and personal information required for trekking permits and other official documentation.
The Dhaulagiri region is among the trekking areas covered by Nepal's current TIMS requirements, and the Nepal Tourism Board identifies Round Dhaulagiri under the applicable trekking routes.
Required permits, conservation-area entry fees, TIMS and other government requirements may change. GuruTreks will arrange the applicable documentation according to the regulations in force at the time of travel.
5. Passport, Visa and Travel Documents
Clients are responsible for carrying a valid passport, Nepal visa where applicable, travel documents, travel insurance documents and any other documentation required for entry into Nepal and participation in the trek.
Travelers should ensure that their passport remains valid for the required period beyond their intended stay in Nepal.
6. Fitness and Medical Requirements
The Dhaulagiri Circuit Trek is a strenuous, high-altitude camping trek reaching approximately 5,360 meters at French Pass.
Participants should have good physical fitness and previous experience with demanding mountain trekking. Clients are responsible for informing GuruTreks of any relevant medical, dietary or physical considerations before departure.
The guide and company may recommend changes to the itinerary or withdrawal from a section of the trek when continuing would create an unacceptable safety risk.
7. Altitude and Acclimatization
Altitude sickness and other altitude-related illnesses can occur even in physically fit trekkers.
The itinerary may be adjusted when necessary to allow appropriate acclimatization. If a participant develops symptoms of altitude sickness or another serious condition, the guide's safety decision must be respected.
Additional costs resulting from emergency evacuation, medical treatment, additional accommodation, transportation or itinerary changes may be payable by the traveler unless covered by insurance.
8. Weather and Natural Conditions
Mountain weather can change rapidly and may affect the itinerary.
The trek may be delayed, shortened, rerouted or modified because of:
- Heavy snowfall
- Avalanches
- Landslides
- Floods
- Severe weather
- Unsafe trail conditions
- Glacier or moraine conditions
- High winds
- Road conditions
- Flight cancellations
- Government restrictions
- Natural disasters
- Other circumstances beyond GuruTreks' reasonable control
The safety of clients, guides and support staff takes priority over maintaining the published itinerary.
9. Emergency Evacuation and Travel Insurance
Travel insurance with adequate coverage for high-altitude trekking and emergency helicopter evacuation is strongly recommended and may be required for participation.
The traveler is responsible for confirming that their insurance covers the maximum altitude and activities included in the Dhaulagiri Circuit Trek.
Where an emergency evacuation is required, the traveler may initially be responsible for arranging or paying the applicable costs and claiming reimbursement from their insurer.
10. Itinerary Changes
The published itinerary is a planned schedule and may be changed because of weather, trail conditions, health, safety, local circumstances or logistical requirements.
GuruTreks and its trekking leaders reserve the right to modify the route, accommodation, camping locations, transportation or daily schedule when reasonably necessary.
Any changes will be made with the safety and welfare of the group as the primary consideration.
11. Transportation
Road and domestic flight schedules in Nepal can be affected by weather, traffic, road conditions, technical problems and operational changes.
GuruTreks is not responsible for delays or cancellations caused by circumstances outside its reasonable control.
Any additional expenses resulting from unavoidable transportation changes may be payable by the traveler unless otherwise agreed or covered by insurance.
12. Accommodation and Camping
The Dhaulagiri Circuit includes remote camping sections where accommodation facilities are limited.
Camping locations and facilities may vary according to weather, trail conditions and local circumstances.
Travelers should understand that facilities in remote mountain areas may be basic compared with standard city hotels.
13. Meals and Dietary Requirements
Meals included in the package will be provided according to the published itinerary.
Travelers with specific dietary requirements or allergies should inform GuruTreks before departure so that reasonable arrangements can be considered.
Special meals or additional food requirements that are not included in the package may involve additional charges.
14. Personal Belongings
Travelers are responsible for their personal belongings, passports, money, electronic devices, luggage and other valuables throughout the journey.
GuruTreks is not responsible for loss, theft or damage to personal property unless directly caused by the company's proven negligence.
15. Guide and Trekking Staff
Participants must follow reasonable instructions provided by the trekking guide, especially concerning altitude, weather, trail conditions, emergency procedures and group safety.
The guide has the authority to recommend stopping, changing the route or descending when continuing is considered unsafe.
16. Responsible Tourism
Travelers are expected to respect local communities, cultures, religious traditions, wildlife and the natural environment.
Participants must follow responsible trekking practices, avoid unnecessary littering and dispose of waste appropriately.
17. Personal Expenses
Unless specifically stated as included in the package, travelers are responsible for personal expenses such as:
- International airfare
- Nepal visa fees
- Travel insurance
- Personal beverages
- Snacks
- Wi-Fi and communication costs
- Personal shopping
- Tips
- Laundry
- Additional accommodation
- Emergency evacuation
- Medical treatment
- Personal trekking equipment
- Expenses resulting from itinerary changes
18. Force Majeure
GuruTreks shall not be held responsible for failure or delay in providing services caused by circumstances beyond its reasonable control, including natural disasters, extreme weather, political disturbances, strikes, government restrictions, epidemics, transportation disruption, accidents or other force-majeure events.
19. Responsibility for Personal Conduct
Travelers are responsible for behaving respectfully and responsibly throughout the trip.
GuruTreks may remove a participant from the trek if their behavior seriously threatens the safety, wellbeing or experience of other participants or staff.
Any additional expenses resulting from such removal will be the responsibility of the participant.
20. Acceptance of Risk
By booking the Dhaulagiri Circuit Trek, participants acknowledge that trekking in remote and high-altitude Himalayan environments involves inherent risks, including altitude sickness, falls, extreme weather, avalanches, landslides, glacier hazards, illness, injury and limited access to emergency services.
Participants voluntarily accept these inherent risks and agree to follow the safety instructions of their trekking guide and GuruTreks.
21. Changes to Terms and Conditions
GuruTreks reserves the right to update these terms and conditions when necessary to reflect changes in government regulations, permits, operational procedures or industry requirements.
The terms applicable to a confirmed booking will be communicated to the client as part of the booking process.
22. Final Agreement
Payment of the required booking amount and confirmation of the trek constitute acceptance of these Terms & Conditions by the traveler and, where applicable, by all members of the travel group.
